Arrival & Check-In – Daily AFTER 3:00PM
Earlier check-in is available and can be arranged via telephone prior to your arrival. Please discuss your needs when you make your reservation, and we will do our best to accommodate an earlier check-in time (as early as 1PM). Check-ins before 3PM will result in an additional $60 fee.
Our Contactless Reservation System means you can always call or refer to your texts/email to check-in remotely. An automatic text message will be sent when your room is ready for check in, guaranteed by 3PM! That message will include our physical address, your room number, and keypad entry code for the room door.
Departure & Check-out – Daily BEFORE 11:00AM
Our cleaning staff and process is arranged to be the most efficient possible. For this reason, check-out time cannot be extended. Occupants remaining past 11:15AM will be charged the related rate for an additional overnight stay. Please make sure utilities are turned off and the room door is shut upon leaving the room.
Given availability, “Extension Rates” are sometimes available. Please call to inquire when making your reservation. (“Extension Rates” allow you to enjoy additional hours here at the lodge without paying a second night; however, they must be approved and confirmed when making a reservation and paid for at least seven (7) days in advance. Extension rates are charged at the time of making the request and are non-refundable.)
Pets & Service Animals
We love dogs! There may be canine companions belonging to other guests on the property during your stay. Please know that there are four (4) dog-friendly rooms in which two (2) dogs may lodge per room. Reservations are suggested due to limited availability. Damages resulting from a mismanaged pet or service animal to the property of Cape Charles Milestone Lodge, or to another guest’s person or property, will be charged to the card on file for the related room rental. Dogs are to be leashed in public areas, whereas owners must maintain full responsibility and control at all times. Guests are NOT allowed to leave the animal in the room without supervision. Dogs are not allowed on the beds, bedding, or linens. Waste should be picked up and disposed of properly. Excessive barking is not permitted. Having consideration for other guests is strongly appreciated. Violations of our pet policy will unfortunately forfeit a guest’s ability to stay with us in the future.
*Service animals must be disclosed in advance and have a valid ADA certification number (*call when making the reservation). There will be a non-negotiable, three-hundred dollar ($300) fine for evidence of any dog (or other animal) occupying a room that is not designated for dog owners.
Reservations
All posted and quoted room-rates and/or room-availability on the website, in print, over the phone, or in person are subject to change according to the seasonal calendar.
Potential guests who are under twenty-one (21) years of age are not permitted to occupy a room without accompaniment and the full responsibility of a registered guest that is above the age of twenty-one (21).
Cancellations
We do understand there may be reasons to cancel a reservation. However, our Cancellation Policy is in no way flexible. Reservations are made with the understanding of the seven (7) day cancellation policy, unless otherwise stated on your confirmation. Weekly rentals are subject to a fourteen (14) day cancellation responsibility.
The county and state taxes, as well as the credit card processing fee are taken at the time of making the reservation and is non-refundable after making the reservation. This charge is approximately 15% of the total and must be paid when making the reservation. The remaining balance of the nightly room rate is due (charged to the card on file) seven (7) days in advance from the start of the reservation, and is non-refundable at that time.
Reservations are “rain or shine”. We know that inclement weather hinders most traveling and vacationing plans. There is no financial obligation for all reservations canceled at least seven (7) days before the scheduled date of arrival, other than the processing fee deposit. For reservations made or canceled within seven (7) days of the intended arrival date, the total balance of the reservation will be billed to the credit/debit card holder on file. Any reservation made within seven (7) days of the arrival date is non-refundable. We are unable to alter the cancellation policy in any way.
IF an official evacuation order for the immediate area is issued by the governor of Virginia, gift certificates of equal value will be issued. There will be no refunds. You may redeem the gift-certificates for a future stay. Guests who fail to cancel their reservation and do not check in on the day of arrival are still obligated to the total account balance, including those reserved with a Gift Card Voucher Number.
Payments
15% of the reservation total is due at the time of making the reservation. This fee is a combination of 5% VA State Sales Tax, 5.3% Northampton County Sales Tax, 1% No. Co. Transient Occupancy Tax, and 3.7% Credit Card Processing Fee. Regardless of cancellation date, this initial fee is non-refundable. The remaining balance of the reservation (the nightly room rate) is due seven (7) days prior to check-in.
The full balance from a reservation is due seven (7) days in advance of the intended check-in date. Same-day room reservations are paid in full before the room keycode is sent to the responsible party. The balance of room add-ons, damages, and any other payment for services is due in full upon check-out. We accept Visa, Mastercard, American Express and Discover cards.
*We are not able to accept cash or checks as valid forms of payment unless formally scheduled with management.
Fees & Policies
Odors – All rooms are NON-SMOKING rooms. There will be a non-negotiable fee of five-hundred dollars ($500) held responsible to the card holder on file, for evidence of ANY type of smoking in the room. This fee also applies to electronic cigarettes, smoking machines, the burning of incense, oils, candles, or other like substances, and to evidence of any open flame damages related to the act of smoking or burning. Legal smoking is permitted outside and ashtrays are provided. Please do not dispose of cigarette filters or related packaging on the ground. Also, no firearms or fireworks are to be activated by guests on the property; the specific county ordinance reads: “No equipment or process shall be used or done which creates noise, vibration, glare, fumes, odors, or electrical or technological interference detectable to the sense of surrounding guests”.
Noise – Each of the ten (10) rooms here at the lodge open out onto a public porch. Voices and sounds carry beneath the trees and should most likely be limited between 9PM and 9AM. We ask you to adhere to these “Quiet Hours” in consideration of your neighbors. Local law enforcement enforces the county noise ordinance after 10PM. There may be additional fees and/or immediate termination of ALL occupants of a room related to the source of these various nuisances. We reserve the right to have you vacate the property without warning or refund. Respecting these requests will result in a greater lodging experience for all guests alike.
Stained/Missing/Damaged Items – *There is a fine of up to five-hundred dollars ($500) for each item that is considered “missing” or “damaged” upon inspection by the manager after the intended check-out time. This very serious, non-negotiable fine applies to any (and all) artwork, mirrors, lamps, hardware, furniture, bedding, bath linens, and all like products. Guests should inspect the room and confirm these items are present in the first ten (10) minutes of entering the room, as the responsibility for these items will then be assumed by the occupying guest.
Other Policies – No COOKING or FISH/ANIMAL CLEANING on property – Bathing dogs or animals, cleaning fish, crabs, or processing deer and other wildlife is not allowed in the rooms or anywhere on-site. In some cases, an outdoor grill can be set up in a designated area for groups to enjoy. Please contact the main office by phone (757) 331-2768 if this is an intention during your stay.
